Flowingly utilize Microsoft Azure AI services exclusively to power our AI features. This ensures enterprise grade security, compliance, and regional data residency for all customers.

1 SCOPE

This policy applies to all Flowingly AI features, including:

  • AI SOP Recorder
  • AI Map Builder
2 AI CAPABILITIES 
  • Generate SOP step titles and descriptions
  • Generate industry specific process maps
3 DATA HANDLING
  • Provider: All AI processing occurs within Microsoft Azure AI systems.
  • Collection: Only data required for AI features (e.g., process steps, metadata).
  • Security: TLS encryption in transit, encryption at rest, SOC 2 controls.
  • Privacy: GDPR, CCPA, HIPAA compliance and regional data residency in your chosen Azure region.
4 SECURITY & CONTROLS
  • Role based access, SSO (SAML, OAuth).
  • Hardened infrastructure, proactive monitoring.
  • Incident response for AI related issues.
5 TRANSPARENCY & OVERSIGHT

  • AI outputs are recommendations, not final decisions.

  • Users must review and approve AI generated content.

  • Flowingly provides context for AI suggestions.

6 USER RESPONSIBILITIES
  • Provide accurate source material.
  • Use AI ethically and in compliance with regulations.
  • Validate outputs before operational use.
7 LIMITATIONS & LIABILITY
  • AI outputs are ‘as-is’ and require human review.
  • Flowingly is not liable for misuse or errors in AI generated content.
8 UPDATES & COMMUNICATION

  • Policy changes will be communicated via email or in-app notices.

  • Continued use of AI features indicates acceptance.

Which AI provider does Flowingly use?

Flowingly utilizes Microsoft Azure AI services exclusively for all AI features.

Does Flowingly use my data to train AI models?

No. Your data, prompts and outputs are never used to train foundation models.

Where is my data stored?

In your selected Azure region for full data residency compliance.

How long is AI-related data retained?
  • By default, Microsoft Azure AI may retain prompts and outputs for up to 30 days for abuse monitoring and security purposes. This data is never used for training models.
  • For customers with strict privacy requirements (e.g., government, healthcare, regulated industries)  Flowingly offers zero-retention options, meaning your AI-related data is discarded immediately after processing, with no storage at all.
Can I opt out of AI features?

Yes. You can enable or disable AI features upon request.

Are AI outputs automatically applied?

No. All AI-generated SOPs, workflows, and suggestions require human review and approval.

What security standards does Flowingly follow for AI?

SOC 2 Type II, GDPR, HIPAA, CCPA compliance, plus general alignment with NIST and OWASP risk controls.
